    1. Introduction

    Simplifi Learning Applications LLC (“SIMPLIFI,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our educational platform and services (including SimplifiLearn). By using the Service, you consent to the data practices described in this policy.

    2. Information We Collect

    2.1 Information You Provide

    We collect information that you voluntarily provide when you:

    • Register for an account (name, email address, username)
    • Upload documents and educational content
    • Create study plans, quizzes, and notes
    • Generate certification prep plans (certification details, experience level, strengths, weaknesses)
    • Import contacts for career connection discovery (names, email addresses, phone numbers, job titles, companies)
    • Participate in community features (messages, comments, shared content)
    • Contact us for support or feedback
    • Subscribe to paid services (payment information processed by third-party payment processors)

    2.2 Automatically Collected Information

    When you use our Service, we automatically collect certain information:

    • Device information (device type, operating system, browser type)
    • Usage data (pages visited, features used, time spent)
    • IP address and general location information
    • Cookies and similar tracking technologies
    • Log files (access times, error logs)

    2.3 Information from Third Parties

    We may receive information from third-party services you connect to SIMPLIFI, such as authentication providers (e.g., Clerk, Apple Sign-In), payment processors (e.g., Stripe, Apple In-App Purchases), or certification exam resources discovered via web search.

    2.4 Contact and Address Book Data

    If you choose to use the career connection discovery feature, you may import contacts from your device address book. When you do so, we collect:

    • Contact names: First and last names of your contacts
    • Email addresses: Email addresses associated with your contacts
    • Phone numbers: Phone numbers associated with your contacts
    • Professional information: Job titles and company names, if available

    How we use contact data: Imported contacts are stored in your personal contact graph and used exclusively to provide career connection discovery and professional networking features within SIMPLIFI. We do not use imported contact data for marketing, advertising, or any purpose other than providing the career connections feature to you.

    Contact data is never shared with third parties. It is stored securely in your account and is not accessible to other users unless you explicitly choose to connect with them.

    How to remove contact data: You can delete individual contacts or bulk-delete all imported contacts at any time from the Privacy Settings on the Network page. When you delete your account, all imported contact data is permanently removed from our systems.

    2.5 Certification Prep Data

    When you use the CertPrep feature, we collect and store:

    • Certification details you provide (certification name, provider, exam code)
    • Your self-assessed experience level, strengths, and weaknesses
    • AI-generated study plans, practice questions, and resource recommendations
    • Job listings discovered via web search related to your certification

    CertPrep plans are stored in your account and can be deleted at any time. Job listings and external resources are sourced from public web search results and are not endorsed by SIMPLIFI.

    2.6 Facebook Data

    If you choose to connect your Facebook account, we may collect the following information with your explicit, per-data-type consent:

    2.6.1 Basic Facebook Data

    • Public profile information: Your name, profile picture, age range, and locale
    • Liked pages and interests: Pages and topics you have liked on Facebook, including their categories (e.g., Education, Sports, Entertainment)
    • Friends list: Friends who also use SIMPLIFI, for study group suggestions
    • Email address: For account linking purposes

    2.6.2 Extended Facebook Data (Optional)

    With separate, explicit consent for "Extended Personalization," we may additionally collect:

    • Hometown and current location: City and state/region information from your profile, used to derive a broad regional category (e.g., "urban-northeast," "rural-south") for culturally relevant analogies. We never store your actual city or address — only the anonymized regional category.
    • Age range: Used to determine a broad generational learning style category (e.g., "digital-native," "experienced-professional"). We do not store your exact age or birthday.
    • Recent posts (text only): The text content of your recent posts is analyzed for vocabulary complexity and communication style. We derive only two category labels (e.g., "conversational," "casual-expressive"). All raw post text is discarded immediately after analysis and is never stored.
    • Photo captions (text only): Caption text from your recent photos is analyzed for lifestyle interest signals. No image data is ever accessed or stored — only text captions. Raw caption text is discarded immediately after analysis.

    2.6.3 How We Use Facebook Data

    Basic data: Your Facebook interests and likes are used exclusively to personalize your learning experience. For example, if you like sports teams, our AI may create sports-themed analogies to explain academic concepts. Your interests are mapped to learning categories and stored as part of your learning profile.

    Extended data: When you grant Extended Personalization consent, we derive five anonymized dimensions from your Facebook data to further tailor educational content:

    • Geographic context: A broad regional category used to select culturally relevant analogies and examples
    • Cultural era: A generational learning style category to calibrate example complexity
    • Vocabulary complexity: A single category label (conversational, moderate, or academic) used to match explanation language to your comfort level
    • Communication register: A single category label (casual-expressive, neutral-informative, or formal-analytical) to mirror your preferred communication style
    • Lifestyle categories: Interest weightings (e.g., technology, fitness, music) derived from post and photo caption themes, used for relevant metaphors and mnemonics

    Only these anonymized category labels are stored and used. Raw Facebook data (city names, post text, photo captions) is processed in memory and immediately discarded. The anonymized dimensions cannot be used to reconstruct your original Facebook content.

    2.6.4 Anonymization and Data Minimization

    All extended Facebook data undergoes a multi-step anonymization pipeline before any information is stored:

    • Named Entity Recognition (NER): Personal names, organization names, and specific locations are automatically stripped from all text before analysis
    • Keyword classification: Text is matched against predefined category keywords — no raw text is retained
    • Immediate disposal: Raw post text, photo captions, and specific location names are never written to disk and are discarded from memory after analysis
    • One-way derivation: The stored category labels (e.g., "urban-northeast," "conversational") cannot be reversed to recover the original data

    2.6.5 Facebook Data Sharing

    Facebook data is never shared with third parties. It is used solely within the SIMPLIFI platform to improve your study content. We do not sell, rent, license, or otherwise disclose your Facebook data to any third party for any purpose.

    2.6.6 Facebook Data Retention

    Facebook data retention follows strict time limits:

    • Liked pages: Retained until you disconnect your Facebook account or delete your data
    • Career interests: Automatically expire after 90 days
    • Extended personalization dimensions: Automatically expire after 90 days. You may also revoke consent at any time to delete them immediately
    • Audit log: Retained for 3 years for compliance purposes (SOC 2)
    • Raw data (posts, captions, locations): Never stored — discarded immediately after in-memory analysis

    2.6.7 Facebook Data Consent and Control

    You have granular control over each type of Facebook data we use:

    • Per-type consent toggles: You can independently enable or disable consent for Liked Pages, Career Interests, Profile Enrichment, and Extended Personalization from the Network page
    • Instant revocation: Revoking consent for any data type immediately deletes the corresponding data from your profile
    • Full disconnect: Disconnecting your Facebook account removes all Facebook-sourced data from your learning profile
    • Facebook app removal: Removing the SIMPLIFI app from your Facebook settings triggers automatic deletion of all your Facebook data from our systems. You will receive a confirmation code and can verify the status on our Data Deletion Status page
    • Audit log access: You can view a complete log of all Facebook data operations performed on your account from the Network page

    2.7 Google Data

    If you choose to sign in with Google, we may receive your name, email address, and profile picture from your Google account. This information is used solely for account creation and authentication.

    Google Calendar. If — and only if — you explicitly connect your Google Calendar, we request the calendar.app.created scope. This grants access to a single “SimplifiLearn Study” calendar that we create in your account, and to nothing else. We use it to write your study schedule and course study-plan weeks as calendar events, and to update or remove those events when your schedule changes.

    • We cannot read your existing calendars. The scope we request does not grant access to events, calendars, or invitations created outside our app.
    • What we store. An access token, a refresh token, and the identifier of the calendar we created — encrypted at rest and used only to keep your study events current. We do not copy your calendar contents into our systems.
    • Disconnecting. You can disconnect at any time from Settings, or revoke access at Google Account permissions. Disconnecting deletes the calendar we created and the tokens we stored.

    We do not access your Google Drive, Gmail, Contacts, or any Google service other than those described above.

    Google data is never shared with third parties. SIMPLIFI’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not sell it, transfer it for other purposes, or use it to train generalized AI models.

    2.8 Apple Sign-In Data

    If you choose to sign in with Apple, we receive your name and email address (or an Apple-generated relay email if you choose to hide your email). This information is used solely for account creation and authentication. Apple Sign-In data is never shared with third parties.

    2.9 Mobile App Data

    When you use our mobile applications, we may collect additional information specific to the mobile platform:

    • Device identifiers: Device model, operating system version, and app version
    • Push notification tokens: Used to deliver notifications you have opted into
    • Contacts (with permission): Device address book data, only when you explicitly use the contact import feature
    • Platform preferences: Display settings, safe area dimensions, and accessibility preferences used to optimize the app experience

    Mobile app data collection follows Apple App Store and Google Play Store privacy guidelines. You can review and control app permissions at any time through your device settings.

    2.10 Advertising and analytics partners

    On our website only — not in our native mobile apps — we may use third-party technologies to measure advertising effectiveness and understand product usage. When enabled, these may include:

    • Meta (Facebook Pixel): conversion and measurement events
    • TikTok Pixel: conversion and measurement events
    • Reddit Pixel: conversion and measurement events
    • Microsoft Clarity: session replay and product analytics

    These partners may use cookies, pixels, SDKs, or similar technologies and may collect identifiers, device or browser information, and usage data in accordance with their own privacy policies. You can control many cookies through your browser settings and may use opt-out tools offered by industry programs where available.

    3. How We Use Your Information

    We use the information we collect to:

    • Provide, maintain, and improve our Service
    • Process your requests and transactions
    • Generate personalized study plans, quizzes, and educational content
    • Enable AI-powered features and content generation
    • Track your progress, achievements, and gamification metrics
    • Communicate with you about your account, updates, and support
    • Send you service-related notifications and updates
    • Detect, prevent, and address technical issues and security threats
    • Comply with legal obligations and enforce our Terms of Service

    Data used to improve the service is anonymized and cannot identify you. We aggregate and anonymize data to analyze usage patterns, improve our algorithms, and enhance the Service without identifying individual users.

    3.1 Personalization and A/B Testing

    We may conduct A/B experiments to evaluate whether personalized content improves learning outcomes. When you use the Service, you may be assigned to a test group that receives personalized explanations, mnemonics, or study content based on your anonymized profile dimensions, or a control group that receives standard content. These experiments:

    • Use only anonymized category labels — never raw personal data — for personalization
    • Are gated behind feature flags and require your explicit consent for the underlying data types
    • Track only anonymized learning outcome metrics (proficiency scores, feedback ratings) to measure effectiveness
    • Do not affect your access to any Service features
    • Can be opted out of by revoking consent for the relevant data types

    3.2 AI Model Improvement

    To improve the quality of our AI-generated quizzes, tutoring responses, and educational content, we may use anonymized interaction data to train and fine-tune our models. This data undergoes the following protections before use:

    • Identity removal: Your user ID and course IDs are replaced with irreversible cryptographic hashes. The original values cannot be recovered from the training data.
    • PII scrubbing: Email addresses, phone numbers, and other personally identifiable information are automatically detected and removed from all text fields before storage.
    • Isolated storage: Training data is stored in a dedicated, encrypted storage location separate from your account data, with access restricted to the model training pipeline.
    • Right to deletion: When you delete your account, all anonymized training data associated with your identity is automatically purged from our systems. You may also request deletion at any time by contacting us at support@simplifilearn.com.

    Your content is never shared with third parties for training purposes. All model training occurs on infrastructure we control, using only anonymized data from our platform.

    4. Data Sharing and Disclosure

    We do not sell your personal information. We may share your information only in the following circumstances:

    4.1 Service Providers

    We may share information with third-party service providers who perform services on our behalf, such as:

    • Cloud hosting and storage providers
    • Authentication services (Clerk)
    • Payment processors (Stripe)
    • Analytics and monitoring services
    • Advertising and analytics partners when enabled on our website (for example Meta Pixel, TikTok Pixel, Reddit Pixel, Microsoft Clarity), as described in Section 2.10
    • AI and machine learning service providers

    These service providers are contractually obligated to protect your information and use it only for the purposes we specify.

    AI processing of your content. To provide features such as search, summaries, lecture notes, quizzes, study plans, mnemonics, and read-aloud narration, content you upload — such as documents and notes — is processed by trusted third-party AI providers, primarily OpenAI and Anthropic. These providers act as our service providers, and under their standard commercial API terms your content is not used to train their models. Your content is transmitted securely, used only to deliver the feature you requested, and is never sold or used for advertising. This is separate from — and does not affect — the optional, anonymized improvement of our own models described in Section 3.2.

    4.2 AI Assistant Connectors (ChatGPT, Claude)

    You may choose to connect SIMPLIFI to an external AI assistant, such as ChatGPT (OpenAI) or Claude (Anthropic), using that assistant’s connector or app feature. This is entirely optional and off by default. Nothing is shared unless you explicitly connect an assistant and approve it on our consent screen.

    This is different from the AI processing described in Section 4.1, and the difference matters. In Section 4.1, AI providers act as our service providers under commercial terms we have agreed, which prohibit training on your content. When you connect an assistant yourself, your content is sent into your own account with that company, as their customer. It is then governed by their privacy policy and your settings with them — including, depending on those settings and their terms, whether it may be used to improve their models. We cannot control or undo that, and we do not receive a copy of your conversation with the assistant.

    What the assistant can access. Only what you approve, and only your own data:

    • Profile and study progress — your display name, courses, and progress.
    • Your library — your bookshelf, your documents, and the text inside them. If you ask the assistant to search or read a document, the contents of that document are sent to the assistant.
    • Creating study material — only if you approve it separately: generating quizzes, flashcards and study plans in your account.

    A connector can never read another user’s content, change your subscription, delete your documents, or send email on your behalf. Each request is authenticated as you, and access is limited to the specific permissions you approved.

    The free quiz connector. We also offer a free “SimplifiLearn Quiz” connector that needs no account. To use it you give us an email address on our consent screen. We store that address, the topics you quiz on and your interests for up to 180 days, use the address to send you your explanations and occasional study tips (every email carries an unsubscribe link), and never share it with the assistant’s provider. The assistant receives only the quiz questions, your answers and the explanations. You can ask us to delete the address at any time at support@simplifilearn.com.

    Disconnecting. You can revoke a connector at any time from your account settings or from within the assistant. Revoking stops any further access immediately. It does not retrieve content the assistant has already received — that is held by the assistant’s provider and subject to their retention policy, so you should also delete the relevant conversation there if you want it removed.

    4.3 Legal Requirements

    We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

    4.4 Business Transfers

    In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to the same privacy protections.

    4.5 With Your Consent

    We may share your information with your explicit consent or at your direction, such as when you choose to share content with other users or connect third-party services.

    5. Data Security

    We implement industry-standard security measures to protect your information:

    • Encryption of data in transit (SSL/TLS) and at rest
    • Secure authentication and access controls
    • Regular security assessments and updates
    • Limited access to personal information on a need-to-know basis
    • Secure data centers and infrastructure

    However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

    6. Cookies and Tracking Technologies

    We use cookies and similar tracking technologies to:

    • Maintain your session and authentication state
    • Remember your preferences and settings
    • Analyze usage patterns and improve our Service
    • Provide personalized content and features

    You can control cookies through your browser settings. However, disabling cookies may limit your ability to use certain features of the Service.

    Some cookies and similar technologies are associated with advertising and analytics partners described in Section 2.10.

    7. Your Privacy Rights

    Depending on your location, you may have certain rights regarding your personal information:

    7.1 General Rights

    • Access: Request a copy of the personal information we hold about you
    • Correction: Request correction of inaccurate or incomplete information
    • Deletion: Request deletion of your personal information
    • Portability: Request transfer of your data to another service
    • Objection: Object to certain processing of your information
    • Restriction: Request restriction of processing in certain circumstances

    7.2 GDPR Rights (European Users)

    If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation (GDPR), including the right to lodge a complaint with a supervisory authority.

    7.3 California Privacy Rights (CCPA / CPRA)

    If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including:

    • Right to know: The categories and specific pieces of personal information we have collected about you, and the purposes for which we use them (see Sections 2–4 above).
    • Right to delete: Request deletion of personal information we collected from you, subject to legal exceptions.
    • Right to correct: Request correction of inaccurate personal information we maintain.
    • Right to opt out of sale: We do not sell personal information for monetary consideration as defined under California law.
    • Right to limit use of sensitive personal information: Where we process sensitive personal information as defined under CPRA, you may request that we limit certain uses to those permitted by law. Contact us using the information below.
    • Opt-out of sale or sharing (including cross-context behavioral advertising): We use advertising and analytics technologies on our website as described in Section 2.10. Depending on the facts and applicable law, certain disclosures to those partners may qualify as “sharing” or “sale” under California law. California residents may exercise opt-out rights by emailing support@simplifilearn.com with the subject line “California privacy opt-out” or through our Contact page. You may also use browser or device controls (where available) to limit tracking for advertising purposes.
    • Non-discrimination: We will not deny services, charge different prices, or provide a different level of service solely because you exercised these rights (unless permitted by law).

    You may designate an authorized agent to submit a request on your behalf where permitted by law; we may require proof of authorization.

    7.4 Other U.S. State Privacy Rights

    Depending on where you live, you may have similar rights under other state comprehensive privacy laws (for example Colorado, Connecticut, Virginia, Utah, and others). Rights vary by state. To exercise applicable rights, contact us using the same channels listed below. We will respond in accordance with applicable law.

    7.5 How to Exercise Your Rights & Appeals

    To exercise access, correction, deletion, portability, objection, restriction, or state-specific rights, contact us at support@simplifilearn.com or through our Contact page. To request deletion of your data, visit your account settings or contact us. We will verify your request as required by law before responding.

    If we deny your request and applicable law provides a right to appeal, you may appeal by replying to our decision or emailing support@simplifilearn.com with “Privacy appeal” in the subject line. We will explain our decision and how you may contact your state regulator where applicable.

    8. Data Retention

    We retain your personal information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we will delete or anonymize your personal information, except where we are required to retain it for legal purposes.

    Anonymized training data (quiz interactions, feedback, tutoring sessions) is retained for up to two years to improve our AI models. Raw interaction data is automatically deleted within 7 days; only aggregated, anonymized data is retained longer. Upon account deletion, all training data linked to your anonymized identity is purged automatically.

    8.1 Deleting your account

    Account deletion is immediate — there is no waiting period during which we keep your data. Deleting your account erases your profile, your courses and study progress, your uploaded documents and the files themselves, the text extracted from those documents and the search index built over it, your gamification history, and your email-list subscription. Any active subscription is cancelled at the same time.

    8.2 AI assistant connector data

    If you connect an AI assistant (Section 4.2), the credentials and records that make the connection work are kept only as long as they are needed:

    • Authorization codes — 60 seconds, and single-use.
    • Access tokens — 1 hour.
    • Refresh tokens — 30 days of inactivity. They are replaced each time they are used, so an active connection keeps working and an abandoned one expires.
    • Connected applications — kept until you disconnect them. An application that is registered but never used is removed after 90 days.
    • Connector activity logs — 14 days. These record which capability was used, by which account, how long it took and whether it succeeded. They do not record what you asked, what was returned, or the contents of any document.

    Disconnecting an assistant removes its access immediately. As described in Section 4.2, it does not reach content the assistant has already received — that is held by the assistant’s provider under their retention policy.

    9. Children's Privacy

    SIMPLIFI is not intended for children under the age of 13 (or the minimum age in your jurisdiction). We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately, and we will take steps to delete such information.

    10. International Data Transfers

    Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. We take appropriate safeguards to ensure your information receives adequate protection, including using standard contractual clauses approved by relevant authorities.

    11. Third-Party Links and Services

    Our Service may contain links to third-party websites or integrate with third-party services. We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies before providing any information to them.

    12. Changes to This Privacy Policy

    We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of material changes by posting the updated policy on this page and updating the “Last updated” date shown at the top. Your continued use of the Service after such changes constitutes acceptance of the updated policy.
